Notice of Annual General Meeting of HKU PGSA
Dear Members of the Postgraduate Student Association of The University of Hong Kong,
The Postgraduate Student Association of The University of Hong Kong (HKU PGSA) will convene its Annual General Meeting (AGM) at 7:00 p.m. on Monday, 10 August 2026. The meeting will be conducted simultaneously in both online and in-person formats.
To ensure that all AGM business is properly conducted in accordance with the Constitution of HKU PGSA, the meeting will consider and address the following agenda items.
1. Meeting Information
Date: Monday, 10 August 2026
Time: 7:00 p.m.
Format: Hybrid meeting, with online and in-person participation
Online platform: Zoom
In-person venue: To be communicated separately following eligibility verification and confirmation of invitation
2. Agenda
(1). Confirmation of attendance and quorum;
(2). Presentation and consideration of the Annual Report for the 2025–2026 session;
(3). Presentation and consideration of the Financial Report for the 2025–2026 session;
(4). Announcement by the Council of the election results for the 2026–2027 Executive Committee;
(5). Formal recording of the session change from 2025–2026 to 2026–2027;
(6). Consideration of the transition and handover arrangements for the Executive Committee; and
(7). Any other business.
3. Registration and Eligibility Verification
Members who wish to attend the AGM should submit their registration information through the following link:

Registration deadline:
12:00 noon on Sunday, 9 August 2026
HKU PGSA will verify each applicant’s membership status, attendance eligibility and voting eligibility based on the information submitted and the Association’s membership records.
Following verification:
* Members allocated an in-person place will receive an individual invitation and details of the physical venue;
* Other verified members who are eligible to attend will receive the Zoom meeting information through their registered HKU email address; and
* The Zoom link and meeting password are for the approved participant’s personal use only and must not be forwarded, disclosed or shared with any other person.
As the capacity of the physical venue is limited, in-person attendance will be restricted to members who have received a formal invitation and completed the eligibility verification process. Eligible members who are not allocated an in-person place may attend through Zoom.
4. Attendance and Voting Eligibility
Under the HKU PGSA Constitution:
* Full Members are entitled to attend and vote at the AGM;
* Alumni Members and Affiliate Members are entitled to attend the AGM but are not entitled to vote;
* Honorary Members may attend upon invitation but are not entitled to vote; and
* The quorum for the AGM is no fewer than 30 Full Members.
Submission of the registration form does not constitute meeting attendance and does not automatically count towards the quorum. All participants must complete identity verification and real-time check-in procedures on the day of the meeting.
5. Online Participation Arrangements
Online participants are required to:
(1). Join Zoom using their verified full name;
(2). Complete real-time roll call and identity verification as directed by the Moderator;
(3). Refrain from arranging for another person to attend or vote on their behalf;
(4). Refrain from sharing the Zoom link, meeting password or voting information;
(5). Refrain from making any audio or video recording, livestreaming, taking screenshots or publicly disclosing meeting content without prior approval from HKU PGSA; and
(6). Remain online during the meeting and follow the directions of the Moderator regarding meeting procedures.
Where an application is incomplete, the applicant’s membership status cannot be verified, or the submitted information is inconsistent with the Association’s records, HKU PGSA may request supplementary information and withhold the online or in-person attendance details until verification has been completed.

香港大學研究生會年度會員大會正式通知
各位香港大學研究生會會員：
香港大學研究生會（HKU PGSA）將於 2026年8月10日（星期一）晚上7時正召開年度會員大會（Annual General Meeting, AGM）。會議將以線上及線下同步方式進行。
為確保所有年度大會事項均按照《香港大學研究生會會章》妥善處理，本次會議將完整審議及處理下列議程。
一、會議資料
日期： 2026年8月10日（星期一）
時間： 晚上7:00
會議形式： 線上及線下同步進行
線上平台： Zoom
線下地點： 將於資格核驗及確認邀請後另行通知
二、會議議程
1. 確認出席情況及法定人數；
2. 提交及審議2025–2026年度報告；
3. 提交及審議2025–2026年度財務報告；
4. 由Council宣布2026–2027年度Executive Committee選舉結果；
5. 記錄2025–2026年度至2026–2027年度的session change；
6. 處理Executive Committee交接及過渡安排；
7. 其他事項。
三、報名及資格核驗

HKU PGSA將根據申請人提交的資料及本會會員記錄，核實其會員身份、出席資格及投票資格。
完成審核後：
* 獲安排線下出席的會員將收到個別邀請及線下會議地點；
* 其他經核實具出席資格的會員將透過所登記的HKU電郵地址收到Zoom會議資料；
* Zoom連結及會議密碼僅供獲批申請人本人使用，不得轉發、公開或與他人共用。
由於線下場地容量有限，線下出席只限獲正式邀請並完成資格核驗的會員。未獲安排線下座位的合資格會員，可透過Zoom參加會議。
四、出席及投票資格
根據HKU PGSA Constitution：
* Full Members有權出席及於AGM投票；
* Alumni Members及Affiliate Members可出席AGM，但沒有投票權；
* Honorary Members可在獲邀情況下出席，但沒有投票權；
* AGM的法定人數為不少於30名Full Members。
提交報名表格並不代表已完成會議簽到，亦不會自動計入法定人數。所有參加者須在會議當日按照指示完成身份核驗及實時簽到。
五、線上參會安排
線上參加者須：
1. 使用經核實的本人姓名登入Zoom；
2. 按照主持人要求完成實時點名及身份確認；
3. 不得由他人代為出席或投票；
4. 不得分享Zoom連結、會議密碼或投票資料；
5. 未經HKU PGSA事先批准，不得錄音、錄影、直播或公開會議內容；
6. 在會議期間保持在線，並按照主持人的指示參與相關程序。
如申請資料不完整、會員身份無法核實或提交資料與會員記錄不一致，HKU PGSA可能要求申請人補交資料，並暫緩發放線上或線下參會資料。
